The 80/20 rule You have probably heard of the 80/20 rule in business – ie 80% of your business comes from 20% of your customers. And you may have come across the 80/20 rule in work life – ie you tend to spend 80% of your time doing the things you don’t enjoy or are not best at, and only 20% of your time doing the things you really enjoy and are really good at. Well there’s an 80/20 rule for presentations as well. 80% of giving a great presentation is about preparation and only 20% is about delivery.   Seriously – if you prepare well: develop a powerful message, build your main points around your sub messages, understand and plan to clearly communicate benefits within your presentation, and choose a structure that will give your audience the best chance of wanting to listen and really hearing the crucial points within your presentation. Then, if you rehearse and refine your presentation until you are comfortable presenting it with minimal notes, and without having to continuously look at your slides for inspiration – then your presentation will stand a very high chance of being great. But if you only spend 20% effort on your preparation, hoping that somehow everything will come together anyway when you stand up– you’re likely to be disappointed.

 

 

Giving your best - 1 One of the most common presentation scenarios is that of a manager presenting to their team (sales, marketing, R&D etc). If this describes a situation familiar to you, then ask yourself, "How much do I want to motivate them", or "How much do I want to inspire them", or "How much do I want them to learn?"  Surely the answer is going to be "As much as possible!"  Isn’t it then worth putting as much effort as you can into delivering a great presentation?   You’ve got all those people together – multiply the total number of people present by the length of the presentation to get the total time investment – so don’t waste it by boring them all for an hour or so. If you want great ROI from a presentation – then invest some time, thought and expertise into making it effective, and not just another dull, ‘death by PowerPoint’ experience.

 

 

Endless lists The average presentation tends to be supported by slide after slide of bullet points. These are basically lists of all the points the presenter wants to make. The presenter will change to a new slide for each aspect of his or her presentation and talk the audience through each [bullet] point. Occasionally this pattern may be broken by the inclusion of a graph or chart.   This format is repeated time after time in business presentations, and yet it is uninspiring at best. At worst it is exceptionally dull. In order to inspire people with your presentations and communicate your important messages effectively, then you need to find a different way to present. You need to replace your slides full of bullet points with key message slides; use short notes to prompt yourself, rather than relying on your PowerPoint slides (work through the drop-down menu entitled 'Preparation' to help out with these areas); and start to powerfully deliver your presentation to your audience, rather than reading it from your slides (see the drop down menus 'Delivery parts 1 & 2’).

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

  

Look where? Where do you want people to be looking while you present? Step back and watch yourself for a moment. Are you trying to get your audience to focus on the screen where your slides are being projected? Do you keep looking at it, pointing at it, drawing their attention to it?   You know, of course, where the audience’s attention should be. It should actually be on you! You’re the presenter. It may feel uncomfortable, but a good presenter will continually draw the audience’s attention back towards themselves and not towards the screen. They will only point the audience to the screen for small parts of the presentation when there is something on screen, such as a graph, that the presenter specifically wants to review with the audience. However, as soon as the presenter has covered the key points on the chart, they will move away from the screen and take the audience’s gaze back to themselves.
